InformationTitleWork OrdersContentContentWork Orders are used to define work that needs to be done, who will do it, and what is necessary to complete the work. To create a new Work Order use the following steps: Select Work (from the side menu bar). Select Work Orders.Select +New. Enter in the required information (text boxes will be filled with blue).Enter in any desired optional information.Select Save. How To Fill Out A Work Order General Work Order ID: This field provides a unique name for the Work Order record. Asset ID: This field identifies the Asset record that the work is being performed on. Description: This field is used to provide additional details about the Work Order. Work Group ID: This field displays the Work Group that this Work Order is linked to. PM ID: This field displays the PM record that the WO was generated from. Expense Class: This field is used to link an Expense Class to the WO. Parent WO: This field identifies the WO that this WO was created as a follow up to. Type: This field is used to link a Work Type to this WO. Latitude: This displays the physical latitude of the Asset linked to this WO. Longitude: This displays the physical longitude of the Asset linked to this WO. Status: This field displays the status of this WO. The only status options available for Work Orders are Ready, Scheduled, In Process, Hold, and Completed. Sub-Status: This field displays the sub-status of the WO. This can be used to provide additional details about the WO status. State: The state of the Work Order describes whether the Work Order is Open or Closed. All Work Orders in the "WO List" view are open and all Work Orders in the "WO History" are closed. Print: This checkbox displays whether or not this WO has been printed. If the box is checked it has not been printed. Pick List: This checkbox displays whether or not this WO's picklist has been printed. If the checkbox is checked, then the pick list will be printed when using the Print All Pick Lists action. Warranty ID: This check box will indicate if the linked Asset is still covered under its warranty. If the checkbox is checked, then the Asset is still covered under its warranty. Origin: This field indicates where the Work Order was created. This can be either "Browser" or "Mobile" depending on where the WO was created. Failure Mode: This field allows you to link a Failure Mode to the WO. This will indicate how the linked Asset failed or broke down. Solution: This field is linked to the Failure Mode. This will indicate how the Asset's failure can be fixed or solved. Project ID: This field will allow you to link a Project record to the WO. Project Stage ID: This field indicates what stage of the Project this Work Order is a part of. Notes: This section allows you to add additional notes and note templates to the Work Order. Schedule Estimated Craft Craft - This field allows you to link an estimated craft record.Total Craft Hours - This displays the total number of estimated craft hours.No. of Workers - This displays the number of workers needed to complete this estimated craft. Work Priority: This field is used to link a Work Priority record. Assigned To: This field indicates the user that this Work Order is assigned to. Assigned By: This field indicates the User that assigned this Work Order. Requested By: This field indicates the User that created this Work Order. Request Date: This field indicates the date that this Work Order was created. Requested Start Date: This field displays the date the work requestor wants this WO to be started by. Requested Finish Date: This field displays the date the work requestor wants this WO to be completed by. Scheduled Start Date: This field displays the date that this WO is scheduled to start. Scheduled Finish Date: This field displays the date that this WO is scheduled to be completed. Scheduled Downtime: This field displays the amount of time that the linked Asset is scheduled to be down, while the WO is completed. Actual Start Date: This field displays the actual date that this WO was started. Actual Finish Date: This field displays the actual date this WO was completed. Actual Downtime: This field displays the actual amount of downtime accumulated while the work was performed. Skills: This section allows Skill records to be linked to the WO. Tools: This section allows Tool records to be linked to the WO. Instructions Instructions are attached to Work Orders and provide users with a list of tasks or steps to follow.Instructions are attached to Work Orders in the following ways: Manually editing the Work Order or by using the Work Order Action Button By Pressing the Edit button, and the +Add button under Instructions, Instructions can be added to the Work Order.Press Action, Add Actual, Instruction. Instructions can be added to PMs, PdMs, and Job Plans that will automatically add the listed Instruction(s) when a Work Order is created.Local Admins can add an instruction set as the Default Work Instruction via the Work Settings page.Assets can have a default Instruction ID listed on the Asset Record. Meters The Meters section of a Work Order will auto-populate with any Meters that are linked to the Asset that the Work Order is for.If the Asset that the Work Order is created for does NOT have any Meters created on the Asset Record, then no meters will be/can be added to this section. Cost On Work Orders, there are two types of costs, Estimated and Actual. Estimated Costs are those that are expected, but are not necessarily fully realized. These Estimated Costs do not transfer to the Asset of the Work Order. Only Actual Costs will transfer to the Asset of a Work Order.Actual Costs represent the actual costs applied to the Work Order, and the Asset record. Estimated Labor and Actual Costs can be added to Work Orders, as well as Estimated Parts and Actual Costs. Comments Comments allow users to add time-stamped notes to a Work Order that can be used for reference later by other Users. Attachments Attachments can be added to records for users to reference.
