The Reporting section can be used to create custom reports from a variety of templates. This feature is available to all User types, but must be enabled via Roles, under the General Section.

 

 

Accessing the Reporting Module:

The Report section can be found by selecting the Reporting Module in the bottom left of the menu options. Then select Reports to bring up the Reports menu.

On Enterprise sites the Reports can be found using the same workflow. Select Reporting and then Reports. This will allow access to Enterprise level reports and allow users to create Enterprise Report Schedules. 

 
 
Creating a Report:
After opening the Reports section all previously created Reports will be listed. To create a new Report select the New action in the upper right. 
 
 
 
Selecting a Report:
After selecting the option to create a new report, users will be prompted to select a Report Template from a list of options. Users should select the report that best reflects the data they want to view. For example if a user wants to view information on PO Line Items, they can scroll down to the PO Line Item List option. After selecting a report it will open that Report's Template.
 
 
Report Actions:
After selecting a Report Template several actions can be taken to customize the report further.
 
These actions include:
  • Select "Edit Filter" to add a filter to narrow down the report's results. This filter will follow the same rules and logic as Filter Creation in other sections of MVP.
  • Select "Edit Details" to add a "Report ID" which will be the report's name when saved. The Report's visibility and description can also be edited from this section.  
  • Select "Columns" to Add or Remove columns from the Report. 
  • Select "Group By" to group the report by your field of choice.
  • Select the "Detail Rows" bar to show or hide Details. This will display Detail columns if using any "Group By" options. 
  • Select the "Record Count" bar to show or hide the record number column on the left hand side of the report. 
  • Select "Grand Total" or "Sub Total" on some Purchasing reports to view the corresponding totals on the report. The Totals will be shown at the bottom of the report.
  • Report Columns can be clicked and dragged to rearrange their placement on the report.

 

 

Running and Exporting Reports:

To update a report's results simply select the "Run" action in the upper right. This will run the report with any parameters that have been applied, and will provide updated results.

After running the report you will be given the option to export the report and save it to your device. To export simply select the "Share" action in the upper right. This will save a copy of the report in the selected file type to your device.

 

 

Saving Reports:

To save a report for future use select the "Save" action in the upper right. A report must be given a unique Report ID before it can be saved. This can be done from the Edit Details section.

The saved report will then be added to the list of saved reports in the Reports list view. 

 

 

Export Reports:

The Report Templates labeled with the "Export" prefix are specific report templates designed to be used in conjunction with the Import Wizard.

Schedule:

The "Schedule" action can be used to create a Report Schedule directly from the Reports page. Use Action> Schedule to open the Schedule menu. For more information on Report Schedules reference this article.

 

The Schedule menu can be used to enter in a Report Schedule's details and generation schedule. Please reference the information below on how each of these fields will affect the Report Schedule.

 
 
Schedule ID: This field will determine the name of the Report Schedule.
Report Name: This field displays the selected report that will be emailed out. 
Language: This field determines the language of the email. 
To: Use this field to enter the email addresses of individuals who will receive this report.
Subject: This field will determine the subject line of the emails sent out by this Report Schedule.
Format: This field will allow you to choose whether the report is sent out in an Excel or PDF format. 
Start Date: This field will determine the first date that the Report Schedule will generate. 
End Date: This field will set an End Date for the Report Schedule, after which it will no longer run.
Time Increment: This section will allow you to choose whether the Report Schedule is generated on an Hourly, Daily, Weekly, or Monthly schedule. The Once option can also be selected if you only want to send the Report out one time. 
Start Time: This field will determine what time of day the Report is emailed out.
