InformationTitleWork SettingsContentContentTo access the Work Settings use the following steps: Select Administration. Select Settings.Select Work. General Auto Generate WO ID? Controls the generation of Work Order IDs for newly created WOs. “Yes” automatically generates a new Work Order ID, “Yes (Editable)” automatically generates a new Work Order ID but allows users to edit this ID, and “No” does not automatically generate a new Work Order ID. Next WO ID If "Auto Gen ID" is set to either "Yes", or "Yes (Editable)", this field lists the Work Order that will be automatically generated for the next new WO. This ID will be one number higher than the last WO ID automatically generated. Users can use the grey down arrow next to the field to allow for the System to enter in Prefixes automatically. None or all of the options can be selected for "WO" "Year" or "Month". Reset WO ID? Controls the generation of Work Order IDs, if set to either "Yearly" or "Monthly", this will reset the WO ID to 00001 at either the start of a new year, or a new month. If Month is selected both "YY-" and "MM-" are locked to selected, If Year is selected, "YY-" is locked to selected. Auto Generate WG ID? Controls the generation of Work Group IDs for newly created WGs. “Yes” automatically generates a new Work Group ID, “Yes (Editable)” automatically generates a new Work Group ID but allows users to edit this ID, and “No” does not automatically generate a new Work Group ID. Next WG ID If "Auto Gen ID" is set to either "Yes", or "Yes (Editable)", this field lists the Work Group ID that will be automatically generated for the next new WG. This ID will be one number higher than the last WG ID automatically generated. Users can use the grey down arrow next to the field to allow for the System to enter in Prefixes automatically. None or all of the options can be selected for "WG" "Year" or "Month". WO Labor Autofill? When adding labor to a Work Order (Action, Add Actual Labor), administrators can set the field for "People ID" to either autofill with the People ID of the user that is Assigned to the Work Order, or the People ID of the user adding the labor. WO Labor Date Autofill Enabling this setting will autofill the "Start Date" when adding labor after hours have been entered in the "Hours" field. Control Instructions from Work Groups Enabling this setting will allow users to check off instructions in mass via a Work Group, instead of needing to check off instructions on each individual Work Order within the Work Group. Requestors can only edit their own Work Requests? Enabling this will prevent Requestor users from editing Work Requests that they did not create (they are not listed as the "Created By"). WO Update Autofill People ID? If activated, updating a WO in the Work Order Update section will automatically populate the People ID field (under the Labor heading) with that of the current user. Scheduler Start of the Week Administrators can choose the starting day of the week that will apply to the Work Scheduler (Work > Scheduler). Scheduler Date Autofill Administrators can decide how the Scheduled Start and Finish Dates will autofill when Scheduling a Work Order using the Scheduler. Generation Service If activated (set to "On"), WOs will automatically generate every 24 hours. Generation Backlog The backlog determines how far back the system will look for Preventative Maintenance (PMs) to assign to Work Orders (WOs) You'll only need to set this if you have Next Due Dates that are in the past. Generation Frequency Determines the range of PM Next Due Date end dates to be generated by the generation service. Generation Assigned By When generating a WO, the “Assigned By” field on each WO will be automatically populated with the value in this field (can be left blank). PM Approval Required? Determines whether PMs require approval before they will generate a Work Order. Remove PM Approval when Modified? Determines if a PM will require re-approval, if edited, before it will generate Work Orders again. Default WO Notes Determines which notes will be automatically added to WOs, if any. Default WR Notes Determines which notes will be automatically added to WRs, if any. Default Instructions Determines which instructions will be automatically added to Work Orders if any. Signature Agreement The text displayed when users sign Work Orders through Action > Signature, or on Mobile CMMS Always assign work to Owner? Determines if Work Orders will automatically list the listed Owner of an Asset as the Assigned To on any Work Orders for Assets with assigned Owners. Track Location? Enabling this will allow users to use Lattitude and Longitude, or Geolocation to track the exact coordinates of Work Orders. Calculate Weighted Priority? Having this setting set to Aged RIME (Ascending) or Aged Rime (Descending) will allow MVP to Automatically update Work Orders Weighted Priority based on the age of the Work Order. Users who use High numbers to indicate High Priority should choose Aged RIME (Ascending). Users who use Low numbers to indicate High Priority should choose Aged RIME(Descending). Increment Per Week The Increment Per Week determines the numerical increase of the priority per week that a Work Order is overdue. As an example, if the priority of a Work Order should go up 1 point per week, you would enter in the number 1 into this field. Default Backlog Weeks The Backlog Weeks determine how far back the system will look at Work Orders before it starts to update the Work Orders Weighted Priority. As an example, if you set the Backlog Weeks to 4 weeks, if a Work Order is 4 weeks past due, then MVP will automatically start increasing the Weighted Priority by the number listed in the Increment Per Week Setting. Instruction Ordering This setting allows you to set the order of Instruction Types on Work Orders. This applies when Work Orders have multiple types of Instructions. For example in the setting configuration below the PM Instructions will appear first, then the Default Asset Instructions, and then the Default Work Order Instructions. This order can be configured to best suit your site's needs. Fields The Fields tab allows administrators to hide certain fields from other users, or mark them as Required, in regards to Work Requests. Selecting “Normal” for a given field allows users to interact with this field normally, selecting "Required" will mark that field as being required when creating/editing a Work Request, while selecting “Hidden” hides this field from view. Reports The Reports tab allows administrators to enable or disable sections of their WO or WG printouts(checking a box will enable a given section, unchecking a box will disable it). The Body and Header fields allow administrators to adjust the size of their reports. WO Notes The WO Notes tab allows administrators to add notes which will be included with all printed Work Orders.
