A Work Group is a collection of individual work orders that share similar characteristics, such as being related to the maintenance of a particular asset (such as a System), occurring within a specific timeframe, or requiring similar skills or resources. Here's an expansion on the functionality and benefits of work groups: Streamlined Operations: Work Groups allow maintenance technicians and supervisors to streamline their operations by consolidating related work orders into a single group. This means that instead of managing each work order separately, they can handle all associated tasks and activities from a centralized Work Group page. Efficient Data Entry: With Work Groups, users can complete all necessary Work Order actions, such as adding labor hours, used parts, and adding Work Order-related comments, directly from the Work Group page. This eliminates the need to navigate to each Work Order, saving time and reducing the risk of errors and inconsistent data being entered. Enhanced Visibility and Coordination: By viewing and managing multiple like Work Orders within the Work Group record view, maintenance personnel gain better visibility into the overall workload and can coordinate resources more effectively. This helps prevent scheduling conflicts, optimize resource allocation, and prioritize tasks based on urgency and criticality. Centralized Instructions: Work Groups offer a centralized platform for managing instructions and controls related to maintenance tasks. Administrators can define specific instructions or procedures applicable to all Work Orders within the Work Group, ensuring consistency and compliance with organizational standards. Technicians can also complete all instructions for all Work Orders, within the Work Group record. This eliminates the need to navigate to each Work Order to complete all instructions, thus saving time and reducing the risk of missed steps. When using Work Groups, the individual Work Orders within the Work Groups cannot be completed or closed on their own, the entire Work Group must be completed and closed at once. To set a PM to generate as a Work Group you'll edit (or while creating the PM) and select the "Generate as a Work Group" checkbox found in the general section of the PM.
