This article explains how to create and apply Work Order Sub-Statuses. These are subsets of Work Order statuses and will allow users to apply additional detail to these statuses.

The Work Order Sub-Status field is a subset of the Status field and provides an additional level of detail to identify or group work orders. The Work Order Sub-Status table is linked to the Status table. 

When putting a WO on Hold it is required that you select a Sub-Status describing the reason for the Hold. Therefore we recommend creating at least one Sub-Status linked to the Hold Status. Please reference this article to learn how to put a WO on Hold. 

 

Creating New Sub-Statuses

To create a Sub-Status use the following steps:

  1.  Select Work.
  2.  Select Sub-Statuses.
  3.  Select New.
  4. Enter a Sub-Status ID.
  5. Enter a Description to provide additional details.
  6. Under the Status subsection check the boxes of any Work Request or Work Order Status that you want the Sub-Status to apply to. 
      • For example, if you only want Users to be able to select a sub-status if the main status is “Scheduled”, then you should only check the box for “Scheduled."
  7.  Select Save.

Use the following steps to add a Sub-Status to a Work Order:

  1. Select Work.
  2. Select Work Orders.
  3. Select Work Order ID.
  4. Select Edit.
  5. Select the “Sub-Status” dropdown.
    • If necessary Select the “Status” dropdown and select a new Status. This will allow you to select the Sub-Statuses linked to that Status. 
  6.  Select the relevant Sub-Status
  7.  Select Save

How to Fill Out a Sub-Status Record

 

General

Sub-Status: This field displays the name of the Sub-Status record.

Description: This field provides additional details of the Sub-Status record.

 

 

Status

Work Requests

  • Hold - Check this box to make this Sub-Status available when the "Hold" status is selected.
  • Pending - Check this box to make this Sub-Status available when the "Pending" status is selected.

Work Orders

  • Completed - Check this box to make this Sub-Status available when the "Completed" status is selected.
  • Hold - Check this box to make this Sub-Status available when the "Hold" status is selected.
  • In Process - Check this box to make this Sub-Status available when the "In Process" status is selected.
  • Ready - Check this box to make this Sub-Status available when the "Ready" status is selected.
  • Scheduled - Check this box to make this Sub-Status available when the "Scheduled" status is selected.
