InformationTitleWork Order Action MenuContentContentThe Work Order Action Menu can be accessed by using the following steps: Work.Work Orders.Select a specific Work Order.Press the Action button. All action availability is controlled via Role setup. If you are unable to access any action your site Administrator will need to adjust your Role setup. Some Actions will also require you to select a Work Order with at least one Part or Labor transaction for them to appear. Add Actual Instruction Using the Add Instruction action will allow users to add an Instruction Set to a Work Order without having to edit the Work Order. Labor Using the Add Actual Labor action will allow users to add Labor for themselves, or other users who performed actual labor on the Work Order. Labor is associated with Work Orders to track the cost, and time, to complete a Work Order. The User entered for labor must have a Craft associated with their People ID. Part The Add Actual Part Action will record the transaction against the Work Order and show up in the Part History. The costs will be charged to the Work Order upon completion of the Action. The Inventory stock levels will be reduced by the quantity issued. Spare Part The Add Actual Spare Part action will record the transaction against the Work Order and show up in the Part History. The costs will be charged to the Work Order upon completion of the action. The Inventory stock levels will be reduced by the quantity issued. Comment Comments allow users to add time-stamped notes to a Work Order that can be used for reference later by other Users. Note The Notes field on Work Orders is used to provide supplementary information on Work Orders for users to reference.The Add Actual Notes action allows users to add or edit notes on a Work Order, without having to Edit the Work Order. Material Using the Add Actual Material action allows users to add Material costs to a Work Order. Materials allow users to add costs for Services or Parts that are not maintained in MVP itself. Materials can be removed by adding a negative transaction using the Add Actual Material action. Service The Add Actual Service action will allow users to add the costing information for a Service that was provided to complete the Work Order. Edit Attachments Using the Edit Attachments action will allow users to edit, or add Attachments to the selected Work Order. Remove Labor The Remove Labor action will only appear if the selected Work Order has an Actual Labor transaction. The Remove Labor action will allow users to remove any listed Actual Labor from a Work Order. Part The Remove Part action will only appear if the selected Work Order has an Actual Part transaction. The Remove Part action will allow users to remove any listed Part(s) from a Work Order. Purchased Part The Remove Purchased Part action will only appear if the selected Work Order has a Purchased Part Transaction (a Part was received to the WO from a PO). The Remove Purchased Part action will allow users to return the Purchased Part to a stock location, while still documenting the return via the Purchase Order originally received from. If the Part needs to be returned to the PO, and not to a Stock Location, please process the return via the Purchase Order. Add Estimated Labor Estimated Labor is used for scheduling purposes on Work Orders to denote who, and how much time, is necessary to complete a Work Order. Using the Add Estimated Labor action will allow users to add a user to be listed as Estimated Labor to the selected Work Order. Part Estimated Parts on Work Orders represent Parts that may be needed to complete the work. Using the Add Estimated Parts action will allow users to add a Part to be listed as Part Labor to the selected Work Order. Actions Down/Up The Down action from the Action menu on Work Orders will mark the asset on the Work Order as Down and begin calculating downtime for that Work Order. The Actual Downtime field will be populated when the WO is Completed. It will be populated with the difference between the time the Action > Down option was used, and when the Work Order is Completed. Generate The Generate action will allow users to Generate PMs Manually. Print Invoice The Work Order Invoice displays costs associated with a Work Order and is used to display the Customer billable markup to labor and materials. Follow Up WO Using the Follow Up Work Order action allows users to create a Work Order that would be tied to the Parent Work Order. The Work Order that created the Follow Up (Parent Work Order) can be found by reviewing the Parent WO field on the Work Orders General tab. Follow Up WR Using the Follow Up Work Request action allows users to create a Work Request that would be tied to the Parent Work Order. The Work Order that created the Follow Up (Parent Work Order) can be found by reviewing the Parent WO field on the General tab. Replace Repairable Spare Using the Replace Repairable Spare action allows users to quickly change out a Repairable Spare that is listed on the Asset that is tied to the Work Order that is selected. Once the action is selected, a menu will appear that will prompt the user to choose which Repairable Spare needs to be removed, and which repairable spare needs to be added. If the Repairable Spare being removed would be placed into storage, choose the "storage" option in the Reason drop-down, and then select the Warehouse and Stock Location the Repairable Spare is being moved to. Once you press "OK", MVP will handle updating the asset tree for you, and remove the old Repairable Spare, and add the new Repairable Spare to the Asset tied to the Work Order. Request Part The Request Part action allows for users to request a Part to be ordered (PR), and received directly to the Work Order. Schedule The Schedule action will allow users to fill out the information in the Schedule portion of the Work Order record without having to use the Edit function. Sign Using the Work Order Sign action will allow users to write a signature to effectively sign off on a Work Order. Signatures will link to the Work Order as an image attachment and will be visible on the Work Order Print-out. Print Pick List Pick Lists on Work Orders are printable lists of Estimated Parts. The Pick List checkbox listed on the general tab of the Work Order functions similarly to the Print checkbox. Using the Print Pick List action allows users to print a PDF list of the Estimated Parts on the Work Order, with Barcodes. The Print All Pick List action will allow users to print Pick Lists for all Work Orders with the Pick List checkbox checked. View this WO on a Map If the Longitude and Lattitude fields are filled out in the General section of a selected Work Order, the View this WO on a Map action will allow users to view the exact location listed on the Work Order. View Filtered WOs on Map Using the View Filtered WOs on Map action will allow users to see a map with individual points to display where each Work Order will take place geographically. Click to Zoom Update GPS Location The Update GPS Location Action allows users to update the Longitude and Lattitude of a Work Order by dragging a GPS point on a map to update the location. Status Complete: Using the Complete Action, a user can mark a Work Order with the status "Completed". A Work Order with the status Completed indicates that the work is entirely done for the Work Order, and an Actual Finish Date will be entered on the Work Order. If the Asset listed on the Work Order is marked as "Down", there will be a prompt to mark the asset back as "Up", so it will stop accumulating Downtime. Close: Using the Close action will change the State of the Work Order from Open to Closed, and the Work Order will be moved to Work Order History. Hold: Using the Hold action will allow users to change the status of a Work Order to "Hold". When putting a Work Order on Hold, a Hold reason is required. Cancel: Canceling a Work Order via the Cancel action will cause the selected Work Order to be moved to Work Order history, and the status of the Work Order will update to "Canceled". The Cancel action should be used if the selected Work Order will not be completed. Cancel Filtered: Using the Cancel Filtered action will allow users to batch-cancel Work Orders using a filter. Complete and Close: Using the Complete and Close action will allow users to mark a Work Order with the status Completed, and move it to Work Order history in one action. Close Completed: Using the Close Completed action will allow users to move any Work Order with the status of "Completed" to Work Order history with one action. Close Filtered: The Close Filtered action will allow users to move Filtered Work Orders to Work Order history. This will close all Work Orders in the filter that do not belong to a Work Group.
